Crediting a Transaction that has already been invoiced
- Create a Refund Transaction against the account to be credited using Manual Voucher entry, use the same details including date and time for the original transaction
- Create a Sales Transaction against the correct account using Manual Voucher entry, use the same details including date and time for the original transaction
- Next use Invoice Generation to create the Credit Note for the customer requiring the refund.
- Remove the tick from ‘All Accounts’ and select the customer for the account to be credited.
- Select the appropriate Billing Period for this customer (Monthly or Weekly).
- Set the ‘Invoice Date’ to the NEXT normal invoicing date for that customer e.g. End of Month date or End of Week date.
- Set the ‘Use Transactions up to’ field to match the date of the Credit Transaction you have created.
- Click the ‘Generate Invoices’ to create the required Credit Note.
- Email or Print the Credit Note in the same way you would do your normal end of month run.
- The transaction that is now assigned to the correct account can be either included in the next invoice run or you can Generate it now as follows …
- Remove the tick from ‘All Accounts’ and select the customer for the account to be invoiced.
- Select the appropriate Billing Period for this customer (Monthly or Weekly).
- Set the ‘Invoice Date’ to the NEXT normal invoicing date for that customer e.g. End of Month date or End of Week date.
- Set the ‘Use Transactions up to’ field to match the date of the Original Transaction you have created.
- Click the ‘Generate Invoices’ to create the required Invoice.
- Email or Print the Credit Note in the same way you would do your normal end of month run.
- If you export your local account invoices to Sage then these transactions will be included in your next Sage export after the normal invoice run is completed.
